The facts an approver, an IT reviewer, or a procurement desk asks for, answered once and in the order they ask. Operator: One person: Matt Drake, principal. Builds and maintains the reference material; answers support. Stated on the homepage, not hidden.
What it needs from you: An account and a question typed into a supported AI client. Claude hosted uses account sign-in; Claude Code and Codex CLI use account-managed, per-person access keys. No retailer-portal credentials, portal-data connector, file upload, or access to your systems. Base plans do not include enterprise SSO, SCIM, Directory Sync, or log streaming. The connect guide names the three supported clients and their durable connection requirements.
What is processed: The selected AI client independently processes the conversation and returned Output under Customer’s agreement. Its tool request may contain the current question or draft and pasted context. Retail Reason processes that request on Cloudflare, adds selected reference material and, when requested, up to three short recent session excerpts, and sends those disclosed model inputs to OpenAI. An automated second-pass answer review may also send the generated draft answer and sanitized evidence; no person sits between the question and the delivered answer. Details are in Privacy.
What is retained: Retail Reason stores no raw prompt, pasted context, or answer in its D1 query log. Up to three 300-character session excerpts expire 24 hours after the last session write. Ordinary resolved operational metadata is generally removed after 90 days; ordinary security/admin audit is generally one year; commercial, terms, refund, and approval evidence is generally 7 years. Unresolved obligations remain until resolved. Account/workspace configuration is designed for 30-day recovery after access ends. Provider and recovery-copy periods differ. Details are in Privacy.
Provider use and retention: Retail Reason does not train its own models on customer content. OpenAI states that API content is not used for model training unless the customer organization affirmatively opts in. Retail Reason sets store: false and explicit-only prompt caching: only an eligible static Service prefix may be cached with the API’s currently supported minimum cache lifetime of 30 minutes, while OpenAI states encrypted cache state may remain eligible for reuse for up to 24 hours under current controls. Abuse-monitoring logs are separate and may contain prompts and responses for up to 30 days. Production provider settings and data controls are validated through the service activation evidence used for publication.
Access and isolation: Named users, one slot per person per account; pending invitations reserve slots. Every request is bound to one account and authorized workspace. Practice and Network client guests consume named-user slots and receive exactly one workspace. Revocation is per membership or access key.
Compliance artifacts: No SOC 2 report. No penetration-test report. Security details are on the security page. Send vulnerability disclosures to [email protected] with the subject “Security Report”; reporting guidance is in security.txt.
Support: Email [email protected]. The operator aims to reply within one business day when he is working; when he is away, the auto-reply gives a return date. The status page is the public location for incident notices and does not claim an external uptime feed.
Billing: Monthly service is charged in advance and renews monthly. Annual service is one upfront charge for twelve months, priced at exactly 11 monthly charges, and renews annually only after the required reminder safeguard. Fixed self-serve purchases use card Checkout. Assisted offers may use card, settled ACH, or paid invoice; a purchase order or open invoice alone grants no access. Cancel online before renewal; access runs to the paid term’s end. Failed renewal receives at least 7 24-hour periods of grace. The first successfully settled paid purchase is refundable when Retail Reason receives the owner’s request no later than 168 hours after canonical settlement, including the exact deadline instant. A confirmed full refund ends paid access; access remains active while a refund is pending or unsuccessful.
Trials: No trial is currently offered. Purchase a plan to begin; the first-purchase refund policy still applies.
Usage: Pooled at the account level and displayed as Normal, High usage, Under review. No public question counts, automatic overages, or automatic cost-based pauses.
Buyer location: Buyer entity formation, principal location, billing address, and named-user access must remain within the 50 states of the United States or District of Columbia. Territories and possessions, freely associated states, and military or diplomatic postal regions such as AA, AE, and AP are excluded.
Organization plans: Organization and larger custom scopes begin with a written inquiry. Available payment methods and the rule that a purchase order or open invoice alone grants no access are stated under Billing above.
If the service ends: A planned permanent closure carries 60 days’ notice and a refund of unused prepaid service. Security, misuse, legal, and nonpayment suspensions may be immediate. Configuration remains recoverable for 30 days after access ends. Terms, section 15.
